The Sales-to-Ops Handover: Where Most Event Problems Start
By Rhys Morris · 2026-09-30 · Event host, MC & compere · CEO & Founder, TRM Flex

Most event problems are decided before the ops team has even seen the enquiry.
A half-formed brief at the sales stage becomes a full crisis on the day. The wrong room set. Staff booked to the wrong start time. A sponsor promised a moment nobody told the host about.
Both sides of the handover
I have sat on both sides of it: fifteen years running events, from cyber-security summits across Europe and the Gulf to flexible-workspace events as Head of Events at The Office Group, and now on stage in front of the result.
The pattern is the same everywhere. Sales confirms the booking with what the client said on the call. Operations picks it up weeks later and starts asking the questions that should have been asked at the start. By then the venue is booked, the budget is set and the client thinks it is all in hand.
Fix the handover and most fires never start
The fix is not more meetings. It is a structured brief at the moment of enquiry: who, where, when, how many, what the room needs to do and who is responsible for each part. Ask those questions first and the ops team inherits a plan rather than a puzzle.
That is the problem I am building TRM Flex to solve: turning enquiries into structured event briefs immediately, so the handover from sales to operations stops being where the trouble begins.
What I ask on every booking call
- What does the room need to do by the end of the night?
- Who owns the running order, and who can change it on the day?
- Which moments are promised to sponsors, winners or guests?
- What has gone wrong at this event before?
In one line
Most event problems are decided before the ops team has even seen the enquiry.
Questions people ask
Why do event problems start at the enquiry stage?
Because the brief agreed at the sales stage is what operations inherits. If the enquiry is captured loosely, the gaps only surface on the day, when they are expensive to fix.
