When to Book a Christmas Event Host: Christmas Is Decided in October
By Rhys Morris · 2026-09-30 · Event host, MC & compere · CEO & Founder, TRM Flex

Christmas is decided in October. If your host is not booked by then, you are choosing from who is left.
Company Christmas parties, festive awards nights, sports dinners and charity dinners all land in the same six weeks of the year. Every Christmas party host worth booking is confirmed early, and the diary does not care how good your event is. This is how the season works, what a Christmas party host actually does, and what to send when you have a date.
How the season actually works
Venues go first, usually by the summer. Entertainment and production follow. The host is often the last line on the checklist, and by the time the organiser gets to it, the Thursdays and Fridays in December are gone.
The squeeze comes from everyone wanting the same nights. Company parties, end-of-year awards and charity dinners all chase the weeks between late November and the week before Christmas, and they all need the same small group of experienced hosts.
If your host is not booked by the end of October, you are choosing from who is left. That is not a sales pitch, just how the season works.
What a Christmas party host actually does
A Christmas party host is not the DJ. The job is to make the night feel organised and generous, and to make the company look good in front of its own people.
- The welcome. Setting the tone in the first two minutes so the room knows the night is in safe hands.
- The speeches. Introducing the chief executive or the founder properly, and keeping the thank-yous warm and short.
- Awards and long-service presentations. Names checked, pronunciations right and every person given their moment.
- The running order. Holding the timings around the kitchen and production, so dinner, speeches and awards land when they should.
- The handover. Closing the formal part of the night cleanly and handing over to the band or the evening entertainment on time.
Most of that work happens before the night. A good host reads the brief, asks the awkward questions early and arrives knowing who matters in the room.
Festive awards nights
A lot of organisations fold their annual awards into the Christmas party. It makes sense, because everyone is already in the room. It also makes the night harder to run. You now have a dinner service, a list of categories, sponsors to thank and winners to walk up, all in a room that gets louder by the hour.
That is a job for an awards ceremony host as much as a party host. Keep the categories in blocks between courses, put the biggest award last, and give the host the authority to move a block if the kitchen runs late. I wrote more about that in what a host does when the running order slips.
Charity Christmas dinners
Charity dinners and balls fill the same December weeks, and the pressure is different. A fundraising night has one measure of success. It usually comes down to a single moment after the main course, when the room decides whether to give.
A charity dinner host builds the night towards that moment. I tell the cause simply, run the pledge moments and the raffle with pace, and hand over cleanly to your auctioneer if there is a live auction. I do not run auctions myself, and I would rather say so up front.
When to book: a simple timeline
- October. Book the venue and the host together. Both are date-locked. Hold a date with a deposit if the running order is not ready. It never is in October.
- Early November. Draft the running order. Confirm the speeches, the award categories and the sponsors.
- Late November. Send the host the full brief, the names and the pronunciations.
- The week of the event. A short call with the host, the venue and production to walk through the night.
If the date is already close, ask about midweek availability. It is where the room is.
How to brief a Christmas party host
A good brief does not need to be long. It needs to answer the questions that come up on the night.
- The date, the venue, the start and finish times and the number of guests.
- What the night is for. A thank-you, a celebration, awards, fundraising, or a mix.
- The running order, even in draft.
- Who speaks, in what order, and how long each person has.
- Award categories, winners' names and pronunciations, and sponsor names.
- Anything to avoid, from topics to in-jokes that only work for half the room.
- Who on your team makes decisions on the night.
With that, your host can write links that sound like your company rather than a generic script.

Questions people ask
When should you book a host for a Christmas event?
Ideally at the same time as the venue, and no later than the end of October. December Thursdays and Fridays go first, so late bookings are choosing from whoever is left.
What does a Christmas party host do?
A Christmas party host welcomes the room, introduces the speeches, presents any awards or long-service recognition, holds the running order around dinner and hands over cleanly to the evening entertainment.
Can a Christmas party host present company awards?
Yes, and it is often the centre of the night. Names and pronunciations are checked in advance, categories sit in blocks between courses and every winner gets their moment.
How much does a Christmas party host cost?
Every event is quoted individually. As a guide, corporate MC bookings start from £1,500 for a half day, gala and charity dinners from £2,000 and awards nights from £2,750. Travel and expenses are charged in addition and no VAT is added.
